Essential Responsibilities:
As an Executive Assistant, you must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. As an Executive Assistant, you will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.In this role, you will:
- Prioritize conflicting needs; handle matters expeditiously and confidentially; proactively engage on and see projects through to successful completion within strict deadlines
- Plan, schedule, and arrange business meetings and travel itineraries; prepare and reconcile expense accounts
- Process T&L expenses in accordance with GE guidelines and assist in managing expense accounts and budgets
- Prepare communications such as organization announcements and newsletters
- Prepare presentations, reports, spreadsheets, meeting minutes and other business information
- Use discretion in interfacing with all levels of individuals, internally and externally
- Prepare, evaluate, and edit incoming and outgoing communications for the executive
- Keeping org charts, seating, etc. up to date
- Direct business contacts to appropriate managers
- Creatively oversee the planning of internal and external team events, including community events
- Support general office administration
- Work closely with the team to help with the welcoming and on-boarding of new employees
- Welcome guests as needed
Qualifications/Requirements:
- High School Diploma or GED, and a minimum of 6 years of administrative experience including minimum of 2 years supporting a senior leader
Eligibility Requirements:
- Legal authorization to work in the U.S. is required. We will not sponsor individuals for employment visas, now or in the future, for this job
- Must be willing to work out of an office located in San Ramon, CA
Desired Characteristics:
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms; other tools Concur, WebEx
- Ability to prioritize and demonstrate forward thinking
- Ability to deal with ambiguity
- Experience supporting executive level leadership; ideally in Human Resources or Talent
- Strong organizational skills and exceptional attention to detail and accuracy
