Description
OMICRON is an international company serving the electrical power industry with innovative testing and diagnostic solutions. The Office Assistant is on the front lines of our customer service experience supporting our Waltham office and US Repair Service Center. As the main point of contact for our Repair Order Process this position requires excellent organizational and communication skills, data entry precision, and attention to the details.

The position combines reception, administrative, customer service, and office organization responsibilities.

ESSENTIAL JOB FUNCTIONS

Manage and Support the entire Repair Order Process.

  • Act as the single point of contact for customer repair inquiries, partnering with the Technical Support Manager.
  • Process customer purchase orders, and place intercompany orders.
  • Ensure that customers' orders get processed and returned within procedural timeframes.
  • Prepare customer return shipments and notify customers of tracking information by email.
  • Ship, track, and receive customer equipment that requires repair at our Austria facility.
  • Invoice customers and manage the collection process for repair orders.
  • Responsible for updates to the Repair Order process documentation.

Coordinate the Shipping and Receiving of OMICRON equipment.

  • Prepare daily Shipping (Federal Express, UPS, Domestic and International).
  • Receive and sign for daily UPS and FedEx packages, and other deliveries; the ability to move/push equipment weighing more than 50 pounds is required.
  • Create equipment return shipping labels, upon request.
  • Prepare shipping labels for miscellaneous parts and accessories for Technical Support, Marketing requests, and other miscellaneous Training support shipments.
  • Maintain daily Shipping and Receiving log of customers, equipment, serial numbers, and tracking information.
  • Update Equipment, Weights, Customs Values, and Tariff numbers spreadsheet, as needed.

Assist Office Administrator in the day-to-day operations of the Waltham office.

  • Answer phones and route calls to appropriate personnel.
  • Provide back-up to Office Administrators in the Houston office.
  • Maintain clean and presentable business premises.
  • Perform opening and closing office tasks, as needed; such as stock coffee and drink stations, kitchen side work, and copier checks.
  • Perform general clerical duties, as needed, to include but not limited to: ordering supplies, photocopying, faxing, scanning, mailings, and filing.
  • Receive company mail, distribute to appropriate personnel, and prepare outgoing mail.
  • Responsible for updates to the Office Administration process documentation.

Perform other duties and projects as assigned.

Requirements

  • Effective in the use of the Internet
  • Proficiency in Windows environment; and MS Office Outlook, Word and Excel applications.

WORK EXPERIENCE

  • Experience working as receptionist / administrator preferred
  • Experience handling high volume shipping/receiving preferred
  • Experience in the Electric Power Industry preferred

EDUCATION REQUIREMENTS

  • Education: High school diploma required
  • Some college courses in Business or other related areas preferred
